Assistant to the Vice President, External Communications
You will work at the Corporate Office in downtown Montreal, and will report to the Vice President, External Communications. You will contribute to the administrative efficiency of the Communications team.
In your role, your key responsibilities will be the following:
: Coordinate the agenda of the Vice President, manage appointments and ensure follow:up on various requests;
: Will also support the agenda of the Director, Employee Communications and ensure follow:up on various requests as well as support the Manager, Digital Strategies as required;
: Perform general office work (word processing, file follow:up, filing:system maintenance, photocopies, mailings);
: Manage day:to:day activities (phone calls, faxes, mail, emaiI and various requests from internal and external sources) and establish priorities;
: Coordinate meetings and prepare all necessary material;
: Draft and prepare all types of do ents in the required styles and formats (Word, Excel, PowerPoint);
: Provide logistical support in the production of communications material, in the organization of events, in the coordination of conference calls or web meetings and in the execution of various communications projects;
: Arrange and confirm travel reservations for members of the Communications team;
: Prepare expense reports, ensure budgetary follow:up, submit invoices for payment;
: Submit requests in the applications management system related to information technology and ensure follow:up as required;
: Provide clerical support to other members of the Communications team as needed;
: Work closely with the Assistant to the Vice President, Communications and Public Affairs.
As our ideal candidate:
: You have a college Diploma (DEC) in Office Automation, with at least e years of experience, or any other equivalent combination of education and/or experience;
: You have excellent communication skills in and English, both spoken and written;
: You have in:depth technical knowledge of Microsoft Office 2010 (Word, Excel and PowerPoint);
: You have solid priority:management skills;
: You are well:organized and detailed:oriented;
: You are very discreet and you respect confidentiality;
: You have excellent sense of initiative and are autonomous;
: You are flexible in terms of availability.
