Reporting to the VP IT Platforms Development this role provides advanced, highly diversified, confidential and discretionary secretarial and administrative assistance; exercising initiative and judgment on a regular basis. The successful candidate must have experience in a fast paced, dynamic environment where a high degree of professionalism, confidentiality and flexibility are required. Positive interactions with key stakeholders such as the SVP Infrastructure, Rogers IT Executive team and our employees are a critical requirement. This role supports a team comprised of VP and team of Directors.
The successful candidate is a proactive performer that demonstrates excellent initiative and judgment on a regular basis. The ability to deal with ambiguity and handle changing and competing priorities is a must. The role requires willingness to work irregular and extended hours on occasion. This position is based primarily out of Rogers Brampton campus but may require occasional travel to our downtown campus.
Strategically manages and plans the day to day activities, meetings, guests, calendaring, emails, phone calls, commitments, appointments etc., to facilitate the most efficient use of the VP Infrastructure and team of Directors.
:Acts as the gatekeeper aroundthe leaders' priorities and appointments
:Maintains all of the leaders' records and files including the contact/address book in an organized and efficient way
:Coordinates and manages special projects, team meetings or events with focused attention to detail
:Coordinates all travel arrangements for the VP and Directors including air, hotel, and car reservations and prepare both itineraries and expense reports
:Leads the expense reporting and processing to ensure timely and accurate reimbursement
:Provides assistance on ad:hoc business requests as needed
:Provides assistance to the leaders' teams as necessary
:Leads by example to work effectively and collaboratively with other Executive Assistants in the organization
:Minimum of 3+ year of previous experience supporting leaders at the Director+ level
:Excellent interpersonal and communication skills, both verbal and written
:Technologically savvy and proficient with the use of smartphones, tablets, laptops and other tools
:Proven ability to work effectively under pressure in a fast:paced environment
:Willing to work flexible hours and be on call to meet challenging and changing deadlines
:Strong organizational skills with a proven ability to prioritize
:Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information
:Advanced skills in managing calendars in MS. Outlook as well as experience in office workflow and productivity tools such as MS Office (PowerPoint, Excel) and Oracle
:Completion of post:secondary education is highly preferred
