DIRECTOR ADMINISTRATIVE ASSISTANT

Based in Saint:Bruno, Quebec, you will be responsible to assist and work with directors (3:6), heads of department (3:6) and employees (15:20) in administrative functions to perform Project office management.
In your role you will:
: Manage emails, calendars, to dos and calls;
: Perform full diary management function managers (PM, Eng, Appro);
: Establish routes and makes travel arrangements in accordance with policies;
: Prepare managers expense accounts and monitors;
: Deal with the management of holidays and time sheets of employees of departments;
: Produce monthly financial reports: Develops budgets and forecasts departments;
: Manage the performance review process (PGP) of employees;
: Perform various processes required for the function (new employees, leaving employees, computers and access LAOs, Glink, shopping card, POs, SAP / Activity Networks, etc.);
: Prepare and corrects presentations and communications for directors with independent judgment and often with little instruction;
: Develop and implements internal procedures and systems, including training;
: Perform management of departmental memos and control do ents;
: Perform the classification and do entation control department, including archiving;
: Perform bookings of rooms and projectors of his department; receives visitors;
: Replace other workers in their absence;
: Assume any other relevant tasks related to its functions.
: Manage the letters of the writing process to customers, including verification of Memos draft prepared by other functions and coordination with Doc;
: Manage emails and / or database (such as SharePoints or ftp) correspondence files and letters from customers and partners (inbound and outbound letters);
: Receiving letters and do ents from customers, including ranking;
: Manage the CTS tool (letters database, do ents, minutes of meetings, and deliverables) including data entry; Products crystal reports; status of pilot Performs photocopies and mailings (Fedex) customer letters and do ents;
: Manage project email (inbox and calendar), including room reservations Manages all project do ents (such as project schedules, invoices, reports, statistics, KPIs, SharePoints, G drive, etc.), including sending and receiving by mail or email.
As our ideal candidate:
: D.E.P. Secretarial or equivalent;
: 5 to 10 years of administrative experience, including 5 years in management administration;
: Excellent command of and English, spoken and written; Spanish a plus;
: Perfect knowledge of Word, Excel, PowerPoint (a test will be required through the hiring process);
: Knowledge of CTS software a great asset;
: Knowledge of office software and financial management tools (eg. SAP / BW) an asset;
: Interest in project management;
: Teamwork, collaboration and demonstrated initiative; attention to detail and work well done; sense of organization; dynamism;
: Processing of confidential do ents or information shown.
