In your role, you will:
: Coordinate with administrative assistants for information regarding on:boarding/ off:boarding activities
: Be the focal for the Global 7000/8000 master lists including organizational charts distributions lists, contact information, desk location, asset numbers, etc.
: Be the focal for badge renewals as well as special access to specific locations when needed. Create and follow up on requests in the IT Request Management System/ Maximo: process and tools.
: Be involved in resolution of employee issues during the on:boarding process. Prepare forms in order to accommodate new employees and relocate existing ones if needed.
: Coordinate with administrative assistants and teams regarding facilities management for Toronto site: internal/ external moves, new employees, off:boarding.
: Give support to the team for booking conferences room and projector, Inventory/Order office supplies.
: Give support for all onsite all employee meetings including logistics and presentation prep.
: Assist, organize and follow up on our rigorous governance to insure good communication and flow of information; Staff meeting, Operational reviews, BSC reviews etc.
: Ensure the smooth operation of the department by tracking deliverables as requested by the directors.
: On a daily basis, work closely with the Administrative assistants in MTL to ensure alignment and conformity.
: Be involved in the budget process and yze the monthly expenses of the team (SAP).
: Be the focal for seat allocations as well as facilities planning for WP8 in Toronto.
: Prepare and update do ents and reports (Attendance report, Organizational Charts, HR Reports, distribution lists).
: Arrange Directors' travel and special events plus any other clerical requests.
: Support the Global 7000/8000 Communication team for various initiatives and be involved in special projects.
: Support team members as required with such items as RMS, move requests, on:boarding process.
: Provide guidance to employees for all Bombardier policies and processes.
As our ideal candidate,
: You have a college degree in administration or relevant experience (2:3 years in an office environment).
: You are computer proficient, with strong keyboarding skills, excellent knowledge of Windows 2010, MS Word, Excel, Advanced PowerPoint and Outlook.
: You possess strong and written communication skills coupled with excellent interpersonal skills and a high level of professionalism. You have good organizational skills and demonstrate a lot of initiative.
: You work well under pressure and you have proven experience dealing with individuals in a busy, fast paced and dynamic environment.
: You are tactful when dealing with individuals at all levels of the organization, autonomous, flexible and strong team player
: You are available to do extra hours (Overtime) when required.
